Terms and Conditions

Version 11 – Effective 01/12/23

Section 0:      General Terms

0.1      The Company

Any reference to ‘we’, ‘us’ or ‘the company’ within these terms and conditions refers to STC Training Solutions, which is a trading name of Eaton General Services Limited.

0.2      Contract

The terms and conditions contained within this document form a contract between the customer and the company. The customer is any person or organisation who has made a booking with the company.

0.3      Booking Confirmation

For the purposes of this document, a booking is said to exist if the customer accepts a formal quotation or is issued a document that is clearly identified as a ‘booking confirmation’. This document shall usually take the form of an e-mail confirmation following a purchase through the Bookeo/Eventbrite bookings platform, the company’s online store, or by written confirmation following an email/telephone enquiry from a customer.

Unless you hold a credit account with Eaton General Services LTD, no booking is confirmed until any required payment/deposit is received in full, or your credit application is approved, as applicable. An unconfirmed booking is still subject to our cancellation policy as detailed in section 2 below.

0.4      B2B Credit Accounts

Business to Business (B2B) Credit accounts are available on request, subject to mutual agreement and account status. Please notify us in writing if you wish to be considered for a credit account. The maximum credit terms are 30 days. Credit will not be offered to new customers. The company reserves the right to terminate a credit account at any time without notice or reason.

0.5      Photographic Identification

All regulated courses require students to provide original, satisfactory photographic identification (such as a valid passport or driving licence) on the first day. This shall form part of the entry requirements of each course.

0.6      Joining Instructions

Unless agreed otherwise in advance, joining instructions shall be made available to all students at least 14 days prior to course start date, provided that booking is confirmed, subject to paragraph 0.3 above.

0.7      Discount Codes

The company reserves the right to discontinue any discount code without notice or reason. Discount codes are only applicable to transactions being paid in full at the time of purchase.

Section 1:      Payment Terms: Publicly Bookable Courses

1.1      Payment (Online Bookings Platforms)

Full payment or an initial credit application must be made at the time of booking. Payment can be made online by Visa, MasterCard, American Express or PayPal. By selecting ‘Pay Later’ you consent to us sharing your data with Pay it Monthly Ltd for the purposes of commencing your full credit application. If you do not complete the full credit application within 24 hours of booking, or if your credit application is declined, your booking will be automatically cancelled, unless you pay in full by other means.

1.2      Payment (Invoice to Proforma Account Customers)

Unless agreed otherwise in advance, invoices must be paid in full within 7 days of receipt, or 14 days prior to commencement of the course, whichever is sooner. For late bookings (within 14 days of course commencement), payment must be made within 24 hours, or by 1700 on the day before the course, whichever is sooner. Your booking will be cancelled if cleared funds are not received by the due date/time agreed. Payment can be made by BACS bank transfer, direct debit, online card payment (Visa, MasterCard or American Express), PayPal or cheque. Cheques must be made payable to Eaton General Services Limited and posted to: Unit 10, Field Side Farm, Quainton, Buckinghamshire, HP22 4DQ. Please allow sufficient time for funds to clear.

1.3      Payment (Invoice to Credit Account Customers)

Unless agreed otherwise in advance, invoices must be paid in full within 30 days of issue. An invoice shall usually be issued at the point of booking.

1.4      Non-Payment of Invoices (Credit Account Customers)

Cleared funds must be received by the due date shown on your invoice. Please allow sufficient time for your chosen payment method to clear. Statutory interest (8% plus Bank of England base rate) will be applied to any amount in arrears from the due date, including any funds still to clear. Additionally, a late payment fee of £25+VAT shall be applied to any unpaid invoice to cover the associated administrative costs. If we have to refer the case to a debt collection agency, you will be charged an additional administration fee of £40+VAT, plus you will be liable for all costs incurred in the process of recovering the debt.

1.5      Group Bookings

Unless agreed otherwise in advance, in addition to all applicable points above, all bookings for two or more students require a 25% non-refundable deposit to be paid at the time of booking. In certain circumstances, this threshold shall be raised, or removed (for account customers), subject to status.

1.6      Interest Free Credit

Interest free credit is provided by PayItMonthly Ltd and is subject to status. Full terms and conditions are available from Pay it Monthly Ltd and will be provided as part of your finance agreement. The minimum spend to apply for interest free credit is £100. The minimum loan duration is 2 months and the maximum 12 months. No booking is confirmed until your credit application is approved.

PayItMonthly Ltd will notify us if your account is in arrears. You shall be liable for any costs resulting from recovering unpaid debt. We reserve the right to cancel any unused credits without refund and/or withhold course certificates if your account falls into arrears.

Section 2:      Cancellation of Bookings: Publicly Bookable Courses

2.1      Cancellation of Standard Bookings: >28 Days’ Notice

If you cancel your booking more than 28 days prior to the original course start date, you shall receive a refund of any monies paid, less a £10 per person charge to cover credit card fees where applicable, providing your booking is not classed as a group booking. You will also be offered the option of transferring your booking once, free of charge, to an alternative date.

2.2      Cancellation of Group Bookings

Unless agreed otherwise in advance, any deposit paid will not be refunded regardless of when you cancel your booking. If you cancel your booking more than 28 days prior to the original course start date, you will be offered the option of transferring your booking once, free of charge, to an alternative date.

2.3      Cancellation of Any Booking: 14-28 Days’ Notice

If you cancel any booking between 14 and 28 days (inclusive) prior to the original course start date, you shall receive a partial refund, less a £25+VAT per person administration charge. Please note that for group bookings the administration charge is in addition to any non-refundable deposit.

Account customers shall be invoiced for the total applicable administration charge on the day of cancellation. This invoice must be paid in full within 30 days of receipt and is subject to the terms and conditions set out in in paragraph 1.4 above.

2.4      Cancellation of Any Booking: <14 Days’ Notice

If you cancel any booking within 14 days of the original course start date, you shall not receive any refund. If you do not turn up to a booked course without contacting us, we shall assume that you wish to cancel your booking.

Account customers shall be invoiced for the full value of the booking on the day of cancellation. This invoice must be paid in full within 30 days of receipt and is subject to the terms and conditions set out in in 1.4 above.

2.5      Exceptional Circumstances

If you feel that the circumstances that led up to the cancellation of your booking are exceptional, then you must contact us in writing as soon as possible. We will consider each case individually and aim to achieve an outcome that is mutually beneficial for all involved. Please note that there are very few circumstances in which we could consider any form of transfer or refund if you cancel a booking after commencement of the course. We reserve the right to ask for satisfactory evidence to be submitted to support your claim in certain circumstances.

2.6      Cancellation of a Booking by Us

If we cancel a course for whatever reason, a full refund of any monies paid shall be processed by us within 3 working days. Please note that depending on the method of payment, it may take up to 10 working days for refunds to appear in your account. These are the timeframes quoted by the payment processing companies and regrettably we have no influence over these. Refunds shall not be payable in situations in which an individual booked on a course is refused entry or expelled for misconduct.

We are not liable for any associated, non-refundable travel or accommodation costs arising from a course cancellation. We will aim to give at least 7 days’ notice of a course cancellation wherever possible.

2.7      Transferring a Booking

You may transfer each booking once up to 28 days before the original course start date without fee. If you change your booking within 28 days of the original course start date, or change your booking more than once, you will be charged a £25+VAT administration fee each time. You will not be permitted to change your booking within 14 days of the original course start time.

2.8      Original Course Start Date

For the avoidance of doubt, the original course start date shall be that of the course initially booked, before any transfers, whether free of charge or otherwise.

2.9      Notice Period

For the avoidance of doubt, the period of notice given excludes the day on which the notice is received and the first day of the course to which it relates.

Section 3:      Package Deals

3.1      Booking Confirmation

No booking is confirmed until payment has been made in full, or your credit application has been approved. At the point of booking, you must confirm the initial course that you wish to attend. The remaining courses which form your package deal may be booked at any time. Individual course bookings are subject to paragraph 0.3 above.

3.2      Changes to Booking(s)

You may change each booking once up to 28 days before the original course start date without fee. If you change your booking within 28 days of the original course start date, or change your booking more than once, you will be charged a £25+VAT administration fee each time. You will not be permitted to change your booking within 14 days of the original course start time.

3.3      Booking Cancellation

All package deals are non-refundable. You may change your individual bookings in accordance with the conditions above, subject to an administration fee where applicable. If you do not turn up to a booked course without contacting us, you will forfeit that element of the package deal and shall be required to repurchase the course at normal retail price.

3.4      Time Limit

It is expected that you complete all elements of your package deal within 12 months of your first booking. You will forfeit any remaining elements of your package deal and shall be required to repurchase the course(s) at normal retail price if you do not complete within 12 months and do not contact us to request an extension. For package deals that include the first year’s ILS course, this time limit is extended to 18 months.

3.5      Entry Requirements

You must ensure that you meet the entry requirements of any booked courses before the scheduled start date. If you arrive for a course and do not meet the entry requirements, you will be turned away. In this case you will forfeit that element of the package deal and shall be required to re-purchase the course at normal retail price.

3.6      Student Referral/Failure

If you are referred or fail any course that forms part of the package deal, you will be liable for the full cost of any additional training, exam re-sits and/or repeat courses that are required, subject to paragraph 7.2 below.

3.7      Exceptional Circumstances

We will consider each case individually and aim to achieve an outcome that is mutually beneficial for all involved. Please note that there are very few circumstances in which we could consider any form of transfer if you cancel a booking after commencement of the course. We reserve the right to ask for satisfactory evidence to be submitted to support your claim in certain circumstances.

3.8      Course Textbooks

All package deals include a copy of Ambulance Care Practice as standard. This shall be posted to you at the time of booking, provided that there is time for it to arrive prior to the first day of your first course. If there is insufficient time for the textbook to arrive then it shall be made available to you on the first day of your course. Where a package deal includes a copy of the JRCALC Pocket Book, this shall be made available to you on the first day of your QA Level 3 Award in the Safe Administration of Lifesaving Medications (RQF) course, where applicable.

3.9      HPAC Registration

Acceptance onto the Health Practice Associates Council (HPAC) register is subject to status: full terms and conditions are available from the HPAC. Where an individual purchases HPAC registration through the company, whether part of a package deal or otherwise, and is subsequently ineligible to register through no fault of the company, no refund shall be payable. For the avoidance of doubt, this includes situations in which an individual has failed or been expelled from a course.

Section 4:      Physical Activities

4.1      Physical Fitness

All courses require an element of physical exertion, including, but not limited to: kneeling for prolonged periods, lying on the floor as a casualty, performing chest compressions, lifting items of medical equipment etc.

You are responsible for ensuring that your physical fitness is at an appropriate level to undertake your booked course(s) and for notifying us of any concerns therein. The company accepts no liability for exacerbation of any underlying health condition that is not declared to us.

If your level of physical fitness is such that you cannot undertake any of the physical activities required of the course, you will not be able to pass. Please do contact us if you have any concerns about this section.

4.2      Dress Code

Students should wear clothing that is comfortable and suitable for undertaking physical activity. Many physical activities are conducted outdoors, including during inclement weather: suitable outdoor clothing should be available. Please note that some areas of our training venue become muddy, and fake blood and vomit are regularly used for our training scenarios.

Section 5:      Disability

5.1      Physical Disability

Students with physical disabilities are welcome on our courses providing that they are able to undertake the required physical activities of the course (see paragraph 4.1 above). Please contact us before booking for further guidance on whether this is possible. Please note that none of our venues are able to offer step-free access.

5.2      Learning Difficulty/Disability

Students with learning difficulties and disabilities are welcome on our courses and we request that you discuss your individual needs with us before booking. We are permitted to make a range of reasonable adjustments to accommodate learners with additional needs and are often able to find a suitable solution.

Section 6:      Course Attendance

6.1      Start Times

Course start times shall be clearly advertised in the relevant joining instructions, along with instructions to follow if you are running late. If you arrive late for any day of a course, you may not be permitted to join. This decision rests with the nominated Course Director and their decision on the matter is final. Due to the fast pace of our courses, if you arrive more than 1 hour late for any day of a course, you will be turned away. If you are turned away from a course due to arriving late, paragraph 6.4 below applies.

6.2      Sickness

Instructions to follow if you are sick shall be clearly advertised in the relevant joining instructions.

6.3      Full Course Attendance

All students are required to attend the course in full, in the order that it was designed, to be awarded a pass. This is a requirement of the awarding organisation and is non-negotiable.

6.4      Non-Attendance

If you do not turn up to a booked course without contacting us, we shall assume that you wish to cancel your booking as per paragraph 2.4 above.

If you miss the first day of a course, whether through lateness or sickness, your booking shall be treated as having been cancelled as per paragraph 2.4 above, except in exceptional circumstances.

If you miss any subsequent day of a course, whether or not notice is given, you will be referred and withdrawn from the remainder of that course. At the discretion of the company, we will attempt to rebook you on an alternative course in order to complete the missed days. This is subject to a space being available and cannot be confirmed until 7 days before the start date of the new course.  A fee of £125 per person shall be charged to cover the costs involved, except in exceptional circumstances. Please note that this offer is valid once only: should you have to be withdrawn from a subsequent course, your booking shall be treated as being cancelled, except in exceptional circumstances.

6.5      Workbook Deadlines

The deadline for submission of all applicable workbooks shall be set within the course schedule and shall be communicated to you by the Course Director.

Extensions must be sought from the Course Director in advance of the deadline. A valid reason is required for an extension to be granted. If a deadline passes and no extension has been granted, you will be marked as having failed the course, except in exceptional circumstances.

You will not be granted an extension of more than 30 days beyond the originally agreed submission date. Any workbooks outstanding after this date passes will automatically be marked as failed.

6.6      Entry Requirements

The entry requirements for each course shall be clearly communicated at the point of booking and within the respective joining instructions. It is your responsibility to ensure that you meet these requirements by the first day of each course. These requirements are set by external bodies and are non-negotiable. If you arrive for a course and do not meet the entry requirements, you will not be permitted to join and no refund will be payable. Any booking cancelled as a result of not meeting the respective entry requirements is still subject to the terms and conditions set out in section 2 above.

Section 7:      Referral and Failure

7.1      Definitions

A student who has been referred, has failed their first attempt at a practical or written examination, or has missed an element of training and is awaiting a resit or recourse.

If the student fails the subsequent resit, does not attend a re-course within 6 months of the original course start date, or does not respond to communication from the company for a period of 30 days or more, they shall be considered to have failed the course.

7.2      Examination Resits

Practical examinations may be retaken at the discretion of the Course Director and shall usually be conducted as part of the normal course delivery. Where additional training and/or examination time is required over and above this, a fee of £35 per hour (or part thereof) shall be payable.

Written examinations cannot be retaken on the same day. Where possible, the Course Director shall plan this to be conducted at the end of a subsequent training day. A fee of £35 per hour (or part thereof) is payable in these circumstances. Where this resit cannot be facilitated at the end of a planned training day, a fee of £70 shall be payable to cover the cost of the examiner.

Resubmission of a workbook does not incur a fee unless additional one-on-one instruction is required by the student (over and above the standard feedback/debrief session). This is chargeable at £35 per hour or part thereof.

Where more than one student is required to resit an element, and this can be completed at the same time, then any applicable fees listed above shall be shared out equally between students.

Section 8:      Course Conduct

8.1      Illegal Activity

Any allegation of illegal activity by any student whilst on company premises shall be reported to the police for investigation. If the Course Director is satisfied that a crime has been committed, all individuals involved shall be immediately expelled from the course without refund.

8.2      Intoxication

If at any point during training a student is found, in the medical opinion of the Course Director, to be intoxicated, they shall be immediately expelled from the course without refund.

8.3      Behavioural Expectations

You are expected to abide by the Learner Agreement at all times whilst undertaking courses with the company. This document will be provided to you with the respective joining instructions and again on the first day of each course. The Course Director reserves the right to impose sanctions on anyone in breach of this agreement, up to and including expulsion without refund.

Section 9:      Authority of the Course Director

9.1      Decisions

Any decision made by the nominated Course Director with regards to lateness, marking or student conduct is final.

9.2      Appeals & Complaints Process

Students have the right to appeal any decision made by the Course Director. Where appropriate this appeal will be heard by an Internal or External Quality Assurer.

Students also have the right to complain if they feel the quality of their teaching has been substandard. Details of how to do this are listed on the Training Commitment document. This document shall be provided with the respective joining instructions and again on the first day of each course.

Section 10:    Internal Quality Assurance (IQA) Services

10.1    Registration

IQA services are only available to organisations that have registered via our website. Registration is valid for a rolling six-month period and is automatically renewed when booking any IQA service. Organisations that do not book any services for more than six months shall be automatically de-registered unless agreed otherwise in advance.

10.2    Minimum Engagement

In line with 10.1 above, in order to remain registered for IQA services, customer organisations must ordinarily book at least one IQA service every six months unless otherwise agreed in advance. Where STC Training Solutions is the sole provider of IQA services to a customer organisation, that organisation must book the minimum required IQA services as set down by any applicable guidance from the awarding organisation in order to remain registered.

10.3    De-Registration

Customer organisations may de-register for IQA services at any time in writing. Customer organisations will be automatically de-registered if one of the following conditions is met:

·       The customer organisation has not booked any IQA service for more than six months, unless agreed otherwise in advance.

·       STC Training Solutions is the sole provider of IQA services to a customer organisation and that organisation has failed to book the minimum required IQA services as set down by the awarding organisation.

·       There are significant concerns regarding the operating practices of the customer organisation and those concerns have not been adequately addressed.

STC Training Solutions reserves the right to cancel any IQA agreement at any time and without specifying a reason. Where this is the case, ideally a minimum of 30 days’ notice shall be given to the customer organisation.

The awarding organisation shall be notified as soon as possible after a customer organisation is de-registered. Where STC Training Solutions is the sole provider of IQA services to the customer organisation, it shall be borne in mind that this action will likely result in immediate suspension of their centre registration.

10.4    Payment Terms

Unless agreed otherwise in advance, desk-based IQA activities will not commence until cleared payment for the service(s) has been received in full.

For trainer observations, invoices must be paid in full 28 days prior to commencement of services. For late bookings (within 28 days), payment must be made within 24 hours, or by 1700 on the day before the requested observation, whichever is sooner.

10.5    Cancellation of an IQA Booking

Bookings for desk-based reviews are all non-refundable. The credit remains active for a period of 3 months from the date of payment and can be transferred to another desk-based review within that time frame.

If you cancel a booking for a trainer observation >28 days in advance, you shall receive a refund of any monies paid, less a £10 per booking charge to cover card fees where applicable.

If you cancel a booking for a trainer observation between 14 and 28 days (inclusive) prior to the booked date, you shall receive a partial refund, less a £25+VAT administration charge.

If you cancel a booking for a trainer observation within 14 days of the booked date, you shall not receive any refund.

10.6    Transferring of an IQA Booking

As per 10.5 above, bookings for desk-based reviews must be used within 3 months of payment being received and may be transferred as many times as the customer organisation wishes.

Bookings for trainer observations may be transferred once, free of charge, up to 28 days prior to the original booking date. Subsequent transfers, or any transfer within 28 days of the original booking date, shall be charged at £25+VAT each. Transfers within 14 days of the original booking date are not permitted and shall not be refundable, as per 10.5 above.

10.7    Notice Period

For the avoidance of doubt, the period of notice given excludes the day on which the notice is received and the first day of the IQA activity to which it relates.

Section 11:    Instructor & Equipment Hire Services

11.1    General Terms

The terms ‘Instructor’ and ‘Course Director’ may be used interchangeably.

Instructor (and/or equipment) hire services shall be provided in accordance with the relevant parts of our full terms and conditions detailed in this document.

The instructor shall at all times be able to abide by the applicable requirements of the appropriate awarding organisation (AO). Where it is evident that compliance with AO requirements is not going to be possible (through no fault of our own), we reserve the right to cancel the booking without notice or refund, and involve the respective AO in that process.

The instructor shall additionally abide by any reasonable requirements of the customer, provided that these requirements are made clear at the time of booking, and do not conflict with our own terms and conditions and/or applicable centre policies.

Where our instructor is delivering a course under the centre registration of a customer, it is the customer’s responsibility to ensure that our instructor is suitably registered with the appropriate AO, and that appropriate standardisation training is conducted in time for the commencement of the course. The customer is wholly responsible for ensuring that required IQA activities are undertaken in line with applicable AO guidance. An hourly rate is chargeable to cover the instructor’s time in participating in standardisation and/or other IQA activities.

Unless specified in writing otherwise, the provision of an instructor and/or equipment for hire specifically excludes any teaching materials such as PowerPoint slides and/or handouts or the like. These shall remain the sole responsibility of the customer to produce and must be made available to the instructor as soon as possible after booking is confirmed, in order that they become familiar with the material.

11.2    Instructor Only Hire

Our contract shall be to supply a named, suitably qualified instructor for the booked course, at the time and location specified, for the duration specified. A daily charge applies. A standard teaching day is taken to be up to eight hours, inclusive of any breaks. Additionally, up to thirty minutes at the beginning of and end of each course is included for setup and/or administrative duties as required. No discount or refund is applicable for shorter teaching days.

It can be assumed for all intents and purposes that the instructor shall arrive empty handed, and the customer shall be responsible for supplying all other required elements in order to deliver the course to the applicable standard(s).

11.3    Instructor & Equipment Hire

Our contract shall be to supply an instructor, as in 11.2 above, plus any required training equipment as detailed in the applicable course specification, or equivalent document. This shall be taken to include any required textbooks, on a loan basis, for the duration of any classroom teaching conducted by us. Where students are required to have access to these loan books for a prolonged period, such as with FREC 4 courses, additional hire charges may apply.

In addition to any required training equipment, we will supply a laptop, projector and screen, if they are not provided at the venue. We will also supply a stock of notepaper, pens and stationery for group work such as flipchart paper and the like, if these are not provided at the venue.

The customer remains responsible for supplying the following:

·       A venue which complies with the requirements of the AO and any applicable workplace laws

·       Any required learning materials for the course, such as PowerPoint slides and handouts etc

·       All required course paperwork, such as registers, exams, and feedback forms etc

·       A method of securely returning completed course paperwork to their administration team

11.4    Courses run under STC Training Solutions’ Registration

Where a customer requests a course be run under our own applicable AO centre registration, the booking shall be treated as a ‘Group Booking’ for the purposes of these terms and conditions and all other relevant sections shall apply.

11.5    Payment Terms

Unless agreed otherwise in advance, instructor and/or equipment hire services will not commence until cleared payment for the service(s) has been received in full. For bookings spanning multiple consecutive days, and those requiring us to book overnight accommodation for our instructor, a deposit shall be payable at the point of booking. This deposit shall be 25% of the total invoice value, or the total value of any non-refundable items on that invoice (such as overnight accommodation), whichever is the greater.

Invoices must be paid in full 28 days prior to commencement of the course. For late bookings (within 28 days of course commencement), payment must be made within 24 hours, or by 1700 on the day before the course, whichever is sooner.

11.5    Transferring an Instructor and/or Equipment Hire Booking

Bookings may be transferred once, free of charge, up to 28 days prior to the original course start date. Subsequent transfers, or any transfer within 28 days of the original course start date, shall be charged at £50+VAT per day. Transfers within 14 days of the original booking date are not permitted and shall not be refundable, as per 11.6 below. Where non-refundable bookings made by the company (such as overnight accommodation) are affected by this transfer, the customer shall be fully liable for any additional charges or fees required to update those bookings.

11.6    Cancellation of an Instructor and/or Equipment Hire Booking

If you cancel your booking more than 28 days prior to the original course start date, you shall receive a refund of any monies paid, less a £10 per booking charge to cover card fees and/or any non-refundable items where applicable. You will also be offered the option of transferring your booking once, free of charge (subject to 11.5 above), to an alternative date.

If you cancel your booking between 14 and 28 days (inclusive) prior to the original course start date, you shall receive a partial refund, less either a £50+VAT per day administration charge, or the total deposit amount, as applicable.

If you cancel your booking within 14 days of the original course start date, you shall not receive any refund. This includes situations in which we arrive to deliver a course and the course cannot go ahead, either in full or in part, through no fault of our own.

11.7    Original Course Start Date

For the avoidance of doubt, the original course start date shall be that of the course initially booked, before any transfers, whether free of charge or otherwise.

11.8    Protection of Customer Brand

Our instructor shall not be identifiable as an associate of STC Training Solutions whilst on hire to a customer, nor shall they undertake any activity that, intentionally or otherwise, promotes the STC Training Solutions, or another competitor’s, brand.

Notwithstanding the above, our equipment and textbooks are clearly identified as property of STC Training Solutions and in most cases also display our contact details. This cannot be changed and should be borne in mind at the time of booking.

By default, our instructor shall arrive wearing smart-casual attire that is suitable for the environment. If required by the customer, our instructor may wear suitable supplied uniform or other required branding.

The instructor shall not knowingly undertake any activity that may harm the public image of the customer, whether or not identifiable as an associate of the customer. This is taken to exclude legitimate reports of concerns made to AOs or other authorities, and/or assisting in their investigations.

11.9    Additional & Ad-Hoc Hours

Instructors are available for hire at an ad-hoc hourly rate to support with longer teaching days, assessment resits and additional marking (such as FREC 4 workbooks). Additional & ad-hoc hours are charged per half-hour increment, or part thereof. Please refer to our website for the latest hourly rate.

For standalone ad-hoc bookings, a minimum charge of two hours applies per booking for ‘in person’ services, and one hour for ‘remote’ services.

11.10  Travel & Overnight Expenses

Locations in excess of 30 miles from our head office (HP22 4DQ) may incur a mileage surcharge plus overnight accommodation for our instructor. The requirement for overnight accommodation is decided upon a combination of expected travel time, start time and finish time.

Mileage charges will be based on round-trip mileage and charged from mile 61. Refer to our website for our latest mileage rate. Discounts are available if free on-site EV charging is provided by the customer.

Where overnight accommodation is required but not provided by the customer, this shall be added to the final quote/invoice. We usually book Travelodge, Premier Inn, or similar. Unless you specifically request us to make a flexible booking, we will book the cheapest option for the dates requested, which is usually non-refundable. Receipts can be made available, and no mark-up shall be applied.

Overnight accommodation shall usually include the night before a course starts and the night that it ends, although this is subject to risk assessment and the discretion of the instructor. As part of our package for instructors, we provide an overnight allowance of £25 per night to mitigate the costs involved in eating out. This charge is passed on to the customer.

Where our instructor is required to pay for parking and/or any other fees to access the venue (including congestion charges), these shall be passed on to the customer, regardless of when they become apparent. Our fleet is currently ULEZ compliant.
